2025 Annual Meeting of the HOD: April 7 Speakers' Update

The window for active campaigning for A-25 HOD elected offices is open. We encourage all HOD members to review this update carefully and if you have any questions, contact us at hod@ama-assn.org.

All candidate information can be found on the AMA HOD elections page, including the newly posted 2025 election manual as well as links to candidate webpages. Visit the HOD election rules page for election-related bylaws and HOD policy G-610.090, the rules that govern the elections. 

The current list of candidates for the 2025 AMA HOD elections will serve as the official candidate notification (PDF) and is current as of April 7, 2025. Individuals considering becoming a candidate for any of the existing open or potential newly open positions are encouraged to send an email with an announcement card to HOD@ama-assn.org notifying us of your intention to be a candidate.

Delegations and caucuses may choose to conduct virtual or in-person interviews for AMA HOD elections. Delegations/caucuses who wish to conduct in-person interviews with A-25 candidates have until May 15, 2025, to complete this form to be added to the list of interviewing groups. Please note that the deadline to submit the form to conduct virtual interviews has passed. The HOD office has collated the list of groups wishing to do virtual interviews for each position and are sending it to the corresponding candidates to schedule directly with the contact person designated by each interviewing group. Similarly, after the May 15 deadline, the in-person list will be compiled and forwarded to the candidates to schedule the in-person interviews.

Important points

  • Virtual interviews may now be scheduled.
  • Candidates may not seek or accept an invitation to interview with a group that is not included on the appropriate official list.
  • Groups may use a different format―virtual or in-person―for each contest, but the same format must be used within each contest.
  • If a group offers an interview to a candidate, they must offer a similar interview to all candidates seeking the same position.
  • Any candidate may decline any interview.
  • Some groups may reach out to candidates to inform them of their interview plans, but it is the responsibility of the candidates to contact the groups’ designated person to arrange an interview.
  • The HOD office will not schedule interviews.
  • Recording interviews is allowed but only with the knowledge and consent of all participating individuals.
  • Recorded interviews may be disseminated to the interviewing group members when all are not present for the interview but should only be shared with members of the interviewing group. These recordings may not be used for any other purpose. After group members have viewed the recording, the recording should be permanently deleted.
  • Candidates may only record an interview with prior notice to the interviewing group and the recordings may only be shared with members of the candidate’s campaign team. These recordings should be permanently deleted at the close of the active campaigning window.

Virtual interviews

  • Virtual interviews may be conducted from April 26 through May 4.
    • Interviews conducted on weeknights must be scheduled between 5 p.m. and 10 p.m. or on weekends between 8 a.m. and 10 p.m. based on the candidate’s local time, unless another mutually acceptable time outside these hours is arranged.
    • Caucuses and delegations scheduling interviews for candidates within the parameters mentioned must offer alternatives to those candidates who have conflicts with the scheduled time.

In-person interviews

  • In-person interviews may be conducted from June 6 through June 9, except during HOD sessions, including reference committee hearings.
  • To avoid a potential violation of the rules, candidates are reminded that they should not accept any invitation to appear before or “stop by” a meeting of any group that is not on the official list. An exception to this rule is an appearance before a group of which you are a current member.  

Nominations will be accepted on Friday, June 6, 2025, during the opening session of the HOD. Uncontested candidates will be elected by acclamation at that time.

Per our bylaws a presidential debate will be held immediately following the opening session of the HOD. The candidates have been informed of the format for this debate. Credentialed HOD delegates will receive an email from the HOD office to submit candidate questions which will be reviewed by the speaker and may be asked during the debate.

Voting for contested elections will be held during the election session on Tuesday, June 10, 2025, at 8 a.m. Central. Check-in for credentialed delegates will begin at 7 a.m. Central and end at 7:45 a.m. Central. All delegates must obtain their voting card during this window without exception. Delegates should be seated in the House at least 10 minutes prior to the election session.

Only credentialed delegates are permitted to cast a ballot. If a delegate is unable to participate in the election session, they may designate a substitute delegate who must be properly credentialed no later than Monday, June 9, 2025, at 6 p.m. Central without exception. This may not be accomplished on Tuesday morning prior to the election session.

June 8: AMA-sponsored candidate reception (5-7 p.m. Central)

June 10: AMA HOD election session (8 a.m. Central)
Oct. 6: Deadline to submit A-27 group endorsement form (5 p.m. Central)
Nov. 14: A-27 election endorsement window opens (6 a.m. Eastern)

2026

June 5: A-27 election endorsement window closes (5 p.m. Central)

Please be reminded that the A-26 election cycle endorsement window is currently open through June 6, 2025, at 5 p.m. Central. Note that A-26 candidates must be informed of receipt of an endorsement by this deadline. The official A-26 group endorsement list is posted to the HOD candidates endorsement information page. Candidates may not be endorsed by a group that is not on this posted list, with the exception of groups eligible to “sponsor” a specific candidate.

Individuals intending to seek election at the 2026 Annual Meeting should make their intentions known to the speakers by emailing an announcement card to Jeanne Uehling (jeanne.uehling@ama-assn.org) before June 9, 2025, at noon Central. The card may include any or all of these elements and no more: candidate name, photograph, office sought, sponsoring group (if any) and a list of endorsing groups (if any). Announcements received will be projected on the last day of the meeting. Submissions will be maintained in confidence until projected. Announcements will be posted online on the candidate page after the meeting closes.

The HOD office is now accepting A-27 group endorsement forms for the A-27 election cycle (elections taking place at the 2027 Annual Meeting). The deadline for submitting this form is Oct. 6, 2025, at 5 p.m. Central. Groups that are not eligible to sponsor a candidate must submit this form to be included on the official A-27 group endorsement list to offer an endorsement to candidates intending to seek election at A-27. All groups wishing to offer endorsements must complete this form for each election cycle as information is not retained from year to year.

The A-27 election cycle endorsement window opens on Nov. 14, 2025, at 6 a.m. Eastern and closes on June 5, 2026, at 5 p.m. Central (just prior to the opening of A-26) with the exception of endorsements offered by the RFS to resident/fellow candidates.
