2025 Annual Meeting of the HOD: April 9 Speakers' Update

As we draw closer to the 2025 Annual Meeting, we provide information related to the business of our House of Delegates. We encourage you to regularly check the AMA HOD Annual Meeting page which will be updated with important meeting information more frequently in the coming months. Please note, AMA HOD election information was sent in a separate communication on Monday, April 7.

Registration for the 2025 Annual Meeting of the House of Delegates (HOD), June 6-11, and the section meetings, June 5-6, is now open. 

Advance registration is required for all HOD and section attendees and their guests and children. Attendees will be taken to a unified registration page which lists all meetings. Please register for each meeting you plan to attend, this includes the HOD for delegates and alternate delegates. To register, visit the registration page. You will need to sign into the AMA website to continue. 

Registration must be completed solely by attendees to attest that they and their guests will abide by our Code of Conduct. Note: Your badge will appear exactly as you type your name into the system. Please do not use all CAPS or all lowercase letters.

Resolutions for the 2025 Annual Meeting of the AMA House of Delegates must be submitted and approved by April 22, 2025, at noon Central. For detailed information about submitting resolutions, visit the AMA HOD process for submitting a resolution page.

Please note that it can take up to 24 hours for resolutions to be reviewed. Resolutions will not be accepted as on-time if any requested revisions have not been addressed by the sponsor by the stated deadline. Resolution submitters will be notified via email when this review process is completed. Resolutions adopted and forwarded by the AMA section meetings held after this date and prior to the HOD opening session are excepted.

Questions while drafting resolutions? 

The HOD office and the AMA Office of General Counsel will conduct resolution office hours to answer any questions while preparing resolutions for submission. We encourage you to take advantage of this opportunity to expedite approval of your resolutions once submitted.

  • Thursday, April 10, 2025, from 2–4 p.m. Central

The HOD Handbook will be posted on May 1, 2025, by 8 a.m. Central. All resolutions and reports received by the April 22 on-time deadline will be included. As a reminder, there will not be an addendum. Late (received after the April 22 deadline) and AMA section-excepted resolutions will be distributed in the meeting tote at the annual meeting on Saturday, June 7, 2025.

The A-25 Online Reference Committees (ORCs) will open Thursday, May 1 at 5 p.m. Central. All on-time submissions, minus any exceptions, will be posted to the ORCs for review and comment during the three-week window required by policy. The ORCs are open to all AMA members. Authors are encouraged to post as soon as possible, and all are encouraged to post early so that a robust discussion may ensue.

The ORCs will close for general comments at noon Central on Thursday, May 22, 2025.

New for this meeting – Authors only may submit comments until 5 p.m. Central, Thursday, May 22, 2025. General comments submitted after the noon Central deadline will be removed.

Reference committees will use the ORC testimony as the basis for their preliminary recommendations on their Preliminary Reference Committee Reports. All items of business included in the ORCs will have a preliminary recommendation. The ORCs provide an opportunity to testify without limitation prior to the preliminary recommendations. Preliminary Reference Committee Reports will be posted by Monday, May 30, 2025, at 5 p.m.

The deadline to submit HOD credentialing information has passed and A-25 HOD meeting credentials (badges) are being prepared for delegates and alternate delegates based on the information provided by their credentialing organization. 

New to this meeting: Badge identifiers for substitute and temporary substitute delegates and alternates.

In accordance with AMA Bylaw 2.10, meeting badges for any substitution or temporary substitution for a credentialed delegate or alternate delegate will be clearly identified as “substitute” or “temporary” with a yellow background. Please review the definitions for further clarification of this bylaw. Note that alternate delegates will continue to be able to be intermittently seated in the House with their corresponding delegate’s temporary credential, their “salmon card,” for any HOD session, excluding the election session.

  • Substitute delegate or alternate delegate: A substitution made after the credentialing deadline and prior to the beginning of the meeting for delegates or alternates who will not be in attendance for the entire meeting.
  • Temporary substitute delegate of alternate delegate: A substitution made at the meeting for a credentialed delegate or alternate delegate who will be absent for more than a half day of the meeting and typically for one who is leaving the meeting prior to adjournment.

Please remember that all temporary substitutions must be certified by the organization’s president or the president’s designee, typically the staff member in charge of the delegation. This person must be present at the registration desk for a substitution to be done onsite at the meeting. Additionally, the original badges for both the departing and the substituting individual, including the salmon card if applicable, must be presented at the registration desk at the time of substitution.

Meeting badges are your “ID” for the sections and HOD meetings. To ensure meeting security, no duplicate badges will be produced onsite.

  • 6 p.m.—deadline to substitute temporary delegates for election session

Tuesday, June 10, 2025

  • 7-7:45 a.m.—election session delegate check-in
  • 8 a.m.—election session
  • 15 minutes after election session—HOD business session
  • 5 p.m.—inauguration

Wednesday, June 11, 2025

  •  8 a.m.-noon—HOD business session
